Petition Letter
Petition Letter: I hope this letter finds you well. I am writing to respectfully petition for an extension of the 21-day petition deadline to waive my one year withdrawal at Queens University. I deeply regret that I was unable to submit my petition within the designated timeframe due to extenuating circumstances that severely affected my ability to communicate or access relevant university resources.
I would like to bring to your attention the personal challenges that I have been facing, which impeded my ability to meet the petition deadline. I have been struggling with severe anxiety and fear that have made it incredibly difficult for me to open the Queens University website, check my emails, or engage with any official communications. My anxiety has been a constant burden, preventing me from taking necessary actions, including filing this petition, until yesterday when I finally mustered the courage to address this matter.
Furthermore, I was in Egypt up until a week ago, which made it virtually impossible for me to check the university website regularly. While in Egypt, I was using my Egyptian phone number which was not linked to my student account so i was unable to log in as the website requires a code to be sent via sms to confirm my identity, further exacerbating my anxiety and fear of missing important deadlines.
Despite these significant challenges, I want to assure you that I am highly committed to my education and to achieving success in my academic pursuits at Queens University. I deeply value my time as a student here, and I am determined to overcome the obstacles that have held me back.
I kindly request the understanding and consideration of the university in granting an extension of the petition deadline so that I may submit my petition to waive the relevant academic regulations. I assure you that my situation is genuine.
I sincerely apologize for any inconvenience my request may cause, and I promise to promptly submit the necessary documents to fulfill my petition once the deadline extension is granted.
Thank you for taking the time to review my request. I am grateful for your understanding and hope for a positive resolution that allows me to continue my academic journey at Queens University.
If you require any additional information or have any questions, please feel free to contact me via email at yasseenmadi@gmail.com

Decision(s) Being Appealed: Waive the 21-day or one term deadline
Appeal Grounds
Appeals to the Board of Studies must include a letter based on one or more of the Grounds for Appeal (Appeal Regulation 3.4). What are the grounds you are basing your appeal on?
- The Associate Dean's decision did not follow the rules of procedural fairness. A breach of procedural fairness includes such things as the Associate Dean failed to:
- Make a reasonable decision in your appeal. A “reasonable” decision is one that is based on evidence, thought out and supported by facts and logical inferences from the facts. To be reasonable, the decision must contain adequate reasons for the conclusions.
Appeal Grounds Details:
In my interactions with the associate dean, I felt that there may have been a lack of complete comprehension regarding the nature of my challenge, particularly my profound fear of seeking help outside of the university environment. This fear has been an ongoing and deeply personal struggle, one that I have kept hidden from even my closest friends and family members. The paralyzing anxiety and apprehension associated with reaching out for external assistance have, unfortunately, made it difficult for me to communicate this aspect of my situation effectively.
While my petition outlined challenges related to missed deadlines and my struggle with anxiety, it was not adequately conveyed how my fear of seeking help played a crucial role in my inability to meet the university’s requirements within the designated timeframe. This fear has created a substantial barrier that prevented me from seeking external support, including professional documentation that could have substantiated my circumstances.
I want to emphasize that my intention is not to critique or challenge the associate dean’s judgment but rather to ensure that the full context of my situation is understood. It is my sincere hope that the Appeals Committee can recognize the gravity of my fear and its impact on my actions, or lack thereof, during the critical period surrounding my petition.
I fully understand the importance of maintaining academic policies and deadlines. Nevertheless, I believe that the opportunity to discuss my situation more comprehensively with the Appeals Committee may shed light on the genuine challenges I faced. By doing so, I hope to convey the extent to which my fear of seeking help has influenced my actions and decisions.

Appeal Letter
Appeal Letter: Dear Queens University Appeals Committee,
I hope this letter finds you well. I am writing to respectfully appeal the decision to deny my petition, as outlined in your communication, regarding the waiver of the 21-day deadline for my petition. I am reaching out to provide additional information and context that I believe is crucial in understanding the circumstances that led to my inability to meet the stated deadline.
While I fully acknowledge the importance of adhering to the academic regulations and deadlines set forth by the Faculty of Arts and Science, I must emphasize that my inability to seek assistance within the stipulated time frame was directly influenced by a compelling factor that hindered my ability to act promptly.
The reference in your communication to the Requirement to Withdraw for One Year letter underscores the significance of the matter at hand. Unfortunately, during the period when I received this communication and the subsequent time frame for petitioning, I found myself in a state of distress that was exacerbated by an overwhelming fear. This fear stemmed from personal concerns and mental health struggles that rendered me emotionally immobilized and unable to take the necessary steps to address the situation within the given 21-day window.
In my efforts to cope with these emotions, I became paralyzed by anxiety, which, in turn, impeded my ability to seek the professional help and guidance that I so desperately needed. This state of fear and anxiety hindered me from approaching the university for assistance in a timely manner, which ultimately led to the missed deadline for my petition.
I understand that extenuating circumstances often require supporting documentation from a professional. While I did not obtain such documentation within the prescribed timeline, I believe it is essential to underscore that my inability to do so was directly linked to the overwhelming fear that gripped me during that period. This fear, unfortunately, acted as a barrier preventing me from seeking help and, consequently, obtaining the necessary documentation.
It is my sincerest hope that you can empathize with the situation I faced during that challenging time. I firmly believe that my inability to act was a direct result of the debilitating fear and anxiety that I was experiencing. As I now navigate a path towards addressing these challenges, I am committed to seeking professional assistance and guidance in an effort to better manage my mental health and overcome the hurdles that have hindered my academic progress.
In conclusion, I humbly request your understanding and reconsideration of my petition denial, taking into account the unique and distressing circumstances that I encountered. I am eager to collaborate with Queens University to find a resolution that acknowledges my genuine intent to succeed academically and to address the barriers that impeded my ability to act within the specified timeline.
Thank you for your time and consideration. I am more than willing to provide any additional information or engage in further discussions if needed. Your understanding and support during this challenging period would be deeply appreciated.
Sincerely,
Yasseen Madi
