Submit an Academic Petition or Appeal

Petition Letter:
I am writing to formally submit an academic petition requesting consideration for an Extended Incomplete for BIOL 102 due to extenuating circumstances beyond my control that directly affected both my ability to write the final examination and to submit an Academic Consideration request within the required timeframe.

On December 13, 2025, the date of my BIOL 102 final exam, I experienced a sudden and severe medical emergency and was taken to Kingston General Hospital. I remained in the emergency department from December 13 to December 14 while undergoing medical assessment and procedures. As a result, I was unable to attend or write the scheduled examination. I notified the course instructors, teaching team, undergraduate office, and student services on the day of the exam, as soon as I was able to do so.

Following my hospital visit, I was provided with medical documentation instructing me to remain off school and work for eight days following December 13, meaning I was medically advised not to engage in academic responsibilities until approximately December 21. During this period, I continued to experience the physical and cognitive effects of the emergency. Despite this, I wrote an examination on December 17. I was very concerned about missing assessments, as it is out of character for me to skip an exam, and by that time some time had passed since my hospital visit. Although I was still recovering, the medication I had been prescribed temporarily alleviated my symptoms, allowing me to complete the exam. I chose to do so because I care deeply about my academic performance and my grades.

In the email correspondence I received from the BIOL 102 Teaching Team, I was informed that I should submit an Academic Consideration request once I had fully recovered. At no point was I advised that there was a specific deadline by which the request had to be submitted, nor was I informed that submitting after a certain date would make me ineligible. Based on this guidance, I reasonably understood that my priority should be recovery and that I could submit the request once I was medically able to do so.

Additionally, from December 19 to January 2, I was away and did not have access to the internet. As a result, I was unable to access or submit the Academic Consideration form during this time. When I returned and regained internet access on January 2, I attempted to submit the request immediately, only to discover that the submission window for the Fall 2025 term had closed on December 31. I then promptly contacted Student Services and the Academic Consideration office to seek guidance and resolve the situation as soon as possible.

Throughout this process, I acted in good faith by promptly informing my instructors of my emergency, following the instructions provided to me, and attempting to complete the required procedures at the earliest reasonable opportunity once I was medically cleared and able to do so. The combination of the medical emergency situation, the eight-day medical restriction notice, the advice that I received concerning the timing of submission of the request, and the fact that I had no access to the internet led to my failure to submit the Academic Consideration request within the term.

I am respectfully requesting that these circumstances be taken into consideration and that I be granted an Extended Incomplete for BIOL 102, allowing me the opportunity to complete the deferred final examination. I remain fully committed to my academic program and have taken steps to ensure that I am able to successfully meet my academic responsibilities moving forward.
