Petition Letter: Dear Members of the Faculty of Arts and Science,

I hope this letter finds you well. My name is Adam, and I am writing to formally petition for permission to withdraw from FILM 240, with the request that it be removed from my academic transcript without penalty. I respectfully submit this request due to exceptional academic circumstances that prevented me from making a fully informed decision prior to the official course drop deadline.

This semester, I have been working diligently to maintain a strong academic standing in preparation for applying to post-graduate programs. As you are aware, such programs place significant emphasis on cumulative grade point average, often evaluating performance across all completed coursework. Unfortunately, my standing in one particular course has fallen below the level required to remain competitive. While I fully acknowledge my responsibility as a student to monitor my academic progress, the circumstances surrounding the grading timeline in this course significantly limited my ability to accurately assess my performance prior to the withdrawal deadline.

By the official drop date of February 27, only 40 percent of the total course grading had been returned to students. This included a limited number of assessments that did not adequately reflect the overall scope or difficulty of the course. As a result, the grades I had received up to that point provided an incomplete and, ultimately, misleading indication of my academic standing. Based on the information available at the time, I reasonably believed that I was performing at a level that would allow me to meet my academic goals. It was only after additional grades were released following the deadline that I became aware of the true extent of my performance in the course.

This delay in grading created a situation in which I was unable to make an informed and responsible decision regarding whether to continue in or withdraw from the course. Had a more representative portion of the course assessments been returned prior to the deadline, I would have been in a position to evaluate my progress more accurately and take appropriate action. In the absence of such information, however, I was effectively deprived of the opportunity to make a decision based on a complete understanding of my academic standing.

I wish to emphasize that this request is not made lightly. I have carefully considered the implications of remaining in the course versus withdrawing, particularly in relation to my long-term academic and professional objectives. Given the importance of maintaining a competitive GPA for post-graduate admissions, I believe that allowing this course to remain on my transcript under the current circumstances would not accurately reflect my academic capabilities or commitment. Rather, it would disproportionately impact my overall record due to factors beyond my reasonable control.

I also wish to express my respect for the policies and procedures established by the Faculty of Arts and Science. I understand that deadlines exist to ensure fairness and consistency across the academic community. However, I hope that my situation may be considered an exception due to the unusual limitation in available grading information prior to the withdrawal deadline. My intention is not to circumvent established policies, but rather to seek fair consideration in light of circumstances that prevented me from making a fully informed academic decision.

In support of this petition, I am prepared to provide any additional documentation or information that may assist in your review of my request. This may include course outlines, grading breakdowns, or correspondence demonstrating the timing of returned assessments. I am committed to cooperating fully with any process required to evaluate this petition.

I respectfully request that the Faculty grant me permission to withdraw from this course without it appearing on my final transcript. I believe this request is justified given the limited grading feedback available prior to the deadline and the resulting inability to make an informed decision at that time. I remain dedicated to my academic pursuits and to upholding the standards of this institution, and I sincerely hope for your understanding and consideration.
