Petition Letter: To Whom It May Concern,
I am writing to formally request a deferral of my already deferred mid-term examination for PHGY 216 from the Winter 2026 semester, which is currently scheduled for Monday, May 11, 2026.
I completed all course requirements for PHGY 216 during the Winter 2026 semester except for one mid-term examination that I was unable to write in February due to extenuating circumstances. I was subsequently scheduled to complete the deferred examination on May 11, however, I have unfortunately become quite ill and am currently not medically able to travel or attend the examination in person. Documentation from my physician supporting my current medical condition is attached.
My mother Dr. Tarah Wright has been in communication with Pam Briand (Academic Consideration Manager), Jeanne Mulder (Director, Life Sciences & Associate Professor), and Louise Winn (Associate Dean) today - all of whom advised that I should submit a formal petition requesting an alternate examination arrangement, as Queen’s University recommends that student do not write an exam if they are unwell. I understand that such petitions are only granted under significantly extenuating circumstances. As outlined in Queen’s University policy, “petitions are only granted where there are significantly extenuating circumstances, which would merit the waiving of a particular Faculty regulation or decision. Extenuating circumstances normally involve a significant physical or psychological event that is beyond a student’s control and debilitating to their academic performance.” I respectfully believe that my present medical condition clearly meets this threshold.
I have contacted my course instructor, Dr. Christopher Ward, requesting his support for this petition. He has told me that if the Associate Dean approves the request, then I will be able to write the exam during the official deferred exam week in August, which is August 24-28. He has also generously agreed to request for the exam to be scheduled on the 24th as I will be competing at the World Sailing Championships in Ireland that week as a member of the National Sailing Team (https://www.sailing.ca/canadian-sailing-team/) and since it is an Olympic Qualifying event, I appreciate the opportunity to write when I am not competing. I am grateful for Dr. Ward’s support of my deferral request and the opportunity to write the exam when I am no longer ill.
I sincerely appreciate your time and consideration of this request. I remain fully committed to completing the requirements of PHGY 216 and to my studies at Queen’s University and respectfully ask for flexibility given these exceptional medical and athletic circumstances.
