Petition Letter: Dear Associate Dean (Academic) Dr. Stephenson,

I am appealing the faculty's decision that I must withdraw from Queen's for a minimum of one year.

My transition to university has been challenging. I had to make the adjustment by myself with minimal help from my school and from family due to the Covid-19 pandemic. Participating in the last three months of high school of prevented strong communication between the teaching staff and myself about the transition into university challenging. This resulted in having to make decisions about my future without help or advice stressful and difficult. When I came to Queens, I felt isolated, it was challenging to make friends, and participate in campus activities or events. I found myself nervous to ask for help and didn't exactly know how too. My experience with online courses during my first year at queens, were not an effective way for me to understand course material and university expectations. I understand that attending the lectures and tutorials is essential, but I found myself feeling unmotivated and apathetic towards my courses. I believe that this was due to the stress of starting university and the pandemic.

My mother is someone who I seek out for help and guidance when it is needed. I have not been able to do this effectively because my mother and brother have been stuck in Beijing, China for three years now. During that time, I have not seen either of them or have difficulty communicating with them because of the 12-hour time difference. When I do hear from them, they are often being pulled out of their home and put into quarantine facilities for days or weeks without any indication of when they going to be sent home. They are often not allowed to leave their home if a single person in their gated community has covid. They are not able to leave the country with a guarantee of being able to return. My mother's job and my brother's position in his school has been threatened if she attempts to leave the country. This scary situation that they are going through is constantly on my mind and I don't have anyone to talk too about it. I have not wanted to bother her with my poor performance in university and add to her stress.

In my second year at Queen's, I found myself to be doing a lot better than my first year. I was able to attend most of my in-person classes and tutorials. I found myself more engaged and enthusiastic when it came to my courses. I also felt as though I was doing a lot better academically, which was evident when I got grades back on OnQ. Although I was doing better academically, I was getting sick a lot more often, hindering my ability to do course work. When I attempted to get academic consideration, I would only get three extra days, although I often needed more. When I asked if I could get a few more days, they said I didn't have strong enough supporting documentation to justify. When I would go to the hospital my first thought wasn't to ask for a note for academic consideration but to try and figure out what was wrong with me. When I was recommended to go to the student wellness centre, I would need make a call or make a booking and fill out information that I was unclear of. Due to these extra steps, I found it easier to go to the emergency room at KGH to be diagnosed and prescribed medication quickly even though I do not receive the right documentation to support academic considerations.

These circumstances have been detrimental to my mental health and ability to perform well in university. These circumstances should not affect in the upcoming year because of the changes in circumstances and the expectations I have for myself. My family is moving back to Canada this summer and will be closer to me. I know what is expected of myself in university and what I must do to achieve my goals. I am familiar with the universities policies, procedures and student services. I intend to follow and use them in order to ensure my success at Queens.

Academic Plan

Academic Plan: My plan for the upcoming year is to peruse the program I have selected. Economics is a course that I have enjoyed taking at Queens and have done well in. With a specified program in a field that I am interested in, I believe that I will be able to do well academically.

If I find that I am have difficulty with my courses, I will actively seek advice from my course professors and teaching assistants.
I will get a tutor through ASUS Peer tutoring or join a study group.
Organization, time-management and studying are skills that I will constantly trying to improve throughout my time at Queens.
If I feel that my mental health and stress is affecting my ability to perform I will seek out counselors.

Appeal Letter

Appeal Letter: To the Board of Studies,

I am submitting a second level appeal to withdraw the Associate Dean's decision to withdraw for one year. The two reasons for denying my appeal that the Associate Dean has stated in the letter is that I have experienced ongoing or extreme academic difficulties and that my academic performance was not affected by a significant physical or psychological event beyond my control. While I do agree that I have been experiencing ongoing academic difficulty, I believe that my extenuating circumstances were inadequately recognized.

As stated in the Associate Dean's letter, the ruling of my appeal is not intended to be punitive, I strongly disagree. While I may not be punished by the university, I feel that I am going to be punished in multiple ways during the course of the year. I will lose the structure and stability that university provides while still developing my independence. My mental health will get worse because of the feeling that I am not good enough and I am not reaching the goals I have set for myself during the summer term. I will also be extremely sad that I won't be able to return to the campus I love and the university experience as life is slowly returning back to normal after the pandemic.

The extenuating circumstances that I outlined in my first appeal included the adjustment to university during a pandemic, the stress of my immediate family being stuck in a China during the pandemic for three years, and the number of times that I have been very sick during academic periods. It is proven from many studies that a lot of people were diagnosed with major depressive disorder and anxiety during the course of the pandemic. I did not seek out professional help because I thought I was able to handle what I was feeling myself. I was clearly mistaken.

In this appeal I would also like to reiterate that my extenuating circumstances are now resolved and that my academic performance is being managed. My family has returned to Canada the stress about worrying about their safety and not having them close to me has been resolved. I have been able to openly discuss the issues I was facing during the past three years with them and now feel the weight of the events are lifted. During the time I submitted my appeal I have been vigorously planning for the fall term by selecting courses and trying to get ahead by preparing for them.

I do not believe that my supporting documentation is strong enough because it is not supported by a professional. I hope that you can understand that the extenuating circumstances that I have experienced are extreme. I was not brave enough to seek out psychological help or treatment from doctors and was not well supported by family for the past two years that I was attending university. It is my opinion that a year away from school will not provide me with time a way to reflect on and repair the factors holding back my academic success. I believe that it will only cause further issues for myself, and I have had more than enough time to do so during the summer term.
