Thank you for your petition regarding a Final Exam deferral in POLS 262 and POLS 354 (W26) and an Extension of an Incomplete Grade in POLS 350 (W25). I have carefully reviewed your petition and, while I am unable to grant all of these requests, I want to assure you that your circumstances were considered thoughtfully and with care as part of the decision‑making process.
I acknowledge the health-related challenges you described in your petition letter and am sincerely sorry that these circumstances had such a significant impact on your Winter term courses. I appreciate the documentation you provided and am glad to hear that you are receiving appropriate support at this time.
I am able to grant your request for an Exam Deferral in POLS 262 (W26). The instructor can facilitate the deferral during the current Summer term; however, due to the ongoing nature of the circumstances, I would alternately like to allow you to drop this course after the academic deadline. If you choose to accept this option, your final grade will be replaced with a DR notation on your transcript. Please email asc.petitions@queensu.ca within 10 business days of receiving this letter if you wish to proceed. Alternatively, it is your responsibility to contact Instructor Cox as soon as possible to make the arrangements for a deferred final exam.
With respect to your request for an Exam Deferral in POLS 354 (W26), the instructor of this course has confirmed that you have met the learning outcomes of the course based on the completed coursework, excluding the final exam. In light of this, I am prepared to permit Aegrotat Standing in this course as an alternative outcome in lieu of an exam deferral. A replacement grade of B, based on the 55% of the course you have completed, would replace the existing grade on your transcript and would be accompanied by the notation “Aegrotat: estimated grade.” If you wish to accept this option, please contact asc.petitions@queensu.ca within 10 business days of the date of this letter.
With respect to your request for an Extension of an Incomplete Grade in POLS 350 (W26), Academic Appeal and Petition Regulation 1.7.1.5 states that a student affected by extenuating circumstances may request academic consideration or ask the course instructor for Incomplete standing (IN) for up to one full term following the completion of a course. If granted, any further request to submit outstanding work after that term must be made through a petition to the Associate Dean (Academic). Normally, such requests are considered when a student has participated actively in the course and only one or two components remain outstanding due to extenuating circumstances beyond the student’s control. Students who are unable to complete the majority of coursework due to extenuating circumstances are typically advised to consider a petition to drop the course after the deadline rather than an extension to submit incomplete work.
The instructor of POLS 350 reported that an essay and the final exam, which together account for 60% of the final grade, were not completed. As a result, the majority of graded coursework for this course remains incomplete, and you are not eligible for an Extension of an Incomplete Grade under the applicable regulations.
That said, as the documentation you provided confirms the academic impact of extenuating circumstances during the Winter 2026 term, I will allow you to drop POLS 350 (W26) after the academic deadline.
