Dear Adison,
I have carefully considered your request for Aegrotat Standing in ENGL 112 (W26). While I’m unable to grant your petition, I want to assure you that I’ve taken your circumstances into account as part of this decision.
According to the Academic Appeal and Petition Regulation 1.7.1.3, Aegrotat standing is reserved for a course in which a student who, because of illness or other extenuating circumstances beyond their control, is unable to complete all the work of the class. The majority of the work to be evaluated in the class (assignments, midterms, laboratories, final examination, as specified in the class syllabus) must be completed and the instructor must assert that the student has met the essential course learning outcomes. A medical certificate or other documentation that outlines how the personal extenuating circumstances affected the student’s academic performance must be provided with the petition. If the student may be able to complete the remaining work at any point in the foreseeable future, they should instead consider a petition to extend the deadline to submit incomplete work or request a deferred exam instead.
I commend you for emailing your instructor early in the term, in January, to let them know that, as a student registered with QSAS, you may require occasional absences from class and alternatives to delivering presentations. It is my understanding that you were referring to the in-class participation and group presentation components worth 30% combined.
I note that your instructor replied to your email on January 9 and outlined a proposed plan, while also asking whether the arrangement would work for you. The instructor has reported that they did not receive a response from you. While I recognize that it is not always easy to engage with an instructor regarding accommodations, the communications provided indicate that the instructor was open to discussing alternative arrangements while also encouraging you to attempt participation in the course requirements. As a result, no alternative arrangement for the 15% group presentation component was ultimately put into place.
The instructor has also reported that although they did not respond to your notice regarding possible occasional absences, your attendance throughout the term was sporadic. Without consistent attendance or alternative arrangements in place to address
the missed course components, the instructor has advised that the essential learning outcomes of the course were not met.
As stated in the instructor's email to you on May 11, accommodations do not exempt students from completing graded components of a course. According to Academic Petition and Appeal Regulation 1.7.1.3, Aegrotat Standing requires that the instructor be able to confirm that the essential learning outcomes of the course have been met. Given the instructor's assessment that the course learning outcomes were not met, I am unable to approve Aegrotat Standing in this case.
That said, the instructor has also reported that there was an additional course component that was not completed, the in-class submission of marked-up pages of poetry, worth 5% of the final grade. It appears that your final grade in this course was 45%, and the instructor has agreed to provide you with an opportunity to complete this outstanding work at this time. Depending on the grade earned, completion of this component may allow you to achieve a passing grade in the course. If you would like to accept this offer, it is your responsibility to contact Instructor McIntire within 10 business days to make the arrangements.
Alternately, I will allow you to drop ENGL 112 (W26) after the academic deadline. If accepted, your final grade will be replaced with a DR notation on your transcript. Please email asc.petitions@queensu.ca within 10 business days if you would like to accept this offer.
Going forward, academic impacts from ongoing circumstances should be managed proactively by utilizing options such as academic consideration or accommodations through QSAS. If a student who is registered with QSAS for accommodations experiences a disability-related impact/impairment where they are too unwell to complete the component as scheduled, the student would follow the process outlined on the QSAS website to request a potential deferral or other academic option that is deemed appropriate by the instructor given the learning outcomes/essential requirements in the course.
Additionally, if you wish to appeal this decision, you are welcome to submit an appeal to the Board of Studies. Appeals to the Board of Studies must be submitted within 10 business days of the date of this decision.
