Submit an Academic Petition or Appeal

Decision Letter

Appeal Number: 2897
Decision Date: February 2, 2017
Associate Dean: Sue Blake
Student Name: Sarah Seguin
Student Email: 12ss246@queensu.ca

Dear Ms. Seguin:

I have carefully considered your request to have your appeal heard after the 21-day timeline for submission. After reviewing your file I have decided the following:

1. I will grant your request to submit a late appeal for your Fall 2015 and Winter 2016 courses.

Please access on the on-line appeals system at: http://www.queensu.ca/artsci/help/academic-appeals/online-appeal-submission After you enter your NetID and password you will now have a new appeal option called €œSubmit a Late Appeal€. Choose this option and follow the steps. Your appeal letter should explain the extenuating circumstances concerning these particular courses, and must include some supporting documentation relating to that particular timeline. There will not be a fee for this new appeal, as it will be considered an amendment to your 21-day deadline appeal so the system will skip over the payment step.

2. I will deny your request to submit a late appeal to address any courses prior to the Fall 2015 term.

The appeal timeline is in place to give students sufficient time to respond to an academic decision. Exceptions to this regulation can only be granted in cases where extenuating circumstances beyond a student's control render the student unable to appeal within the specified timeline. The student must be able to show that the extenuating circumstances
were ongoing. The student must also be able to demonstrate that these circumstances prevented the student from acting between the time the original decision was received and the time at which the appeal was eventually initiated. Appeals of the regulation governing the timeline for appeals must be submitted in writing. An appeal of this type should include a presentation of the specific reasons for a delay and should include any document which support the reasons for delay.

According to your file you submitted an appeal in January 2014 requesting to drop GEOL 104 and CISC 101. You submitted a second appeal in March 2014 asking to drop MATH 111 and a third appeal in June 2015 requesting to drop ECON 232, ECON 110, ECON 212 and ECON 262 as well as waive the requirement to withdraw. All of these appeals were granted. While I understand that you had a chronic health condition at the time, it appears that you were both aware of the appeal system and capable of using it. Furthermore, as per Appeal Regulation 3.2.2.5, €œStudents are not able to revisit the same time period in submitting subsequent appeals. For example if a student has appealed to drop one or more classes without academic penalty in the Fall term he or she is not able to make a subsequent appeal in relation to that same time period.€

If you wish to appeal the Associate Dean€™s decision to the Board of Studies, you must submit an appeal to the Board of Studies within 21 days of the date this decision was sent. Guidelines for appealing to the Board of Studies and the appeal form can be found at: http://www.queensu.ca/artsci/students-at-queens/academic-appeals (click on €œBoard of Studies€) Do not use the on-line application for this process. You may contact Mr. Harry Smith, Office of the Ombudsman for advice on matters of procedure and on obtaining a representative. His office is located in room 421 Richardson Hall and he can be reached by phone (533-6495) or e-mail (ombuds@queensu.ca).

Sincerely,

Sue Blake
