Decision Letter
Appeal Number: 2939
Decision Date: February 10, 2017
Associate Dean: Sue Blake
Student Name: Chris Grady
Student Email: 0cjg@queensu.ca
Dear Mr. Grady:
I have carefully considered your request to have your appeal heard after the 21-day timeline for submission. After reviewing your file I have decided the following:
1. I will grant your request to submit a late appeal for your courses from the 2014/15 academic year.
Please access on the on-line appeals system at: http://www.queensu.ca/artsci/help/academic-appeals/online-appeal-submission After you enter your NetID and password you will now have a new appeal option called €œSubmit a Late Appeal€. Choose this option and follow the steps. Your appeal letter should explain the extenuating circumstances concerning these particular courses, and must include some supporting documentation relating to that particular timeline. There will not be a fee for this new appeal, as it will be considered an amendment to your 21-day deadline appeal so the system will skip over the payment step.
Note that if your appeal requesting to drop courses late is subsequently granted, those courses will continue to appear on your transcript with a DR notation (meaning dropped on appeal).
2. I will deny your request to submit a late appeal to address any courses prior to the Fall 2014 term.
The appeal timeline is in place to give students sufficient time to respond to an academic decision. Exceptions to this regulation can only be granted in cases where extenuating circumstances beyond a student's control render the student unable to appeal within the specified timeline. The student must be able to show that the extenuating circumstances
were ongoing. The student must also be able to demonstrate that these circumstances prevented the student from acting between the time the original decision was received and the time at which the appeal was eventually initiated. Appeals of the regulation governing the timeline for appeals must be submitted in writing. An appeal of this type should include a presentation of the specific reasons for a delay and should include any document which support the reasons for delay.
According to your file you submitted an appeal in July 2014 requesting to waive the appeal deadline and drop courses late from Winter 2012, Summer 2012 and Winter 2014 and that appeal was subsequently granted. You were therefore, both aware of the appeal system and capable of using it and should have therefore appealed your 2011/12 courses at the time you filed your first appeal. Furthermore, as per Appeal Regulation 3.2.2.5, €œStudents are not able to revisit the same time period in submitting subsequent appeals. For example if a student has appealed to drop one or more classes without academic penalty in the Fall term he or she is not able to make a subsequent appeal in relation to that same time period.€
If you wish to appeal the Associate Dean€™s decision to the Board of Studies, you must submit an appeal to the Board of Studies within 21 days of the date this decision was sent. Guidelines for appealing to the Board of Studies and the appeal form can be found at: http://www.queensu.ca/artsci/students-at-queens/academic-appeals (click on €œBoard of Studies€) Do not use the on-line application for this process. You may contact Mr. Harry Smith, Office of the Ombudsman for advice on matters of procedure and on obtaining a representative. His office is located in room 421 Richardson Hall and he can be reached by phone (533-6495) or e-mail (ombuds@queensu.ca).
Sincerely,
Sue Blake
