Dear Ms. Malhotra:
I have carefully considered your appeal to receive Aegrotat standing in BCHM 218 (F 2017). After reviewing your file I must unfortunately deny your request.
As you know, Academic Regulation 10.3.1. states that, Aegrotat estimated standing in a course is reserved for situations in which a student, who has completed and passed at least 60 per cent of the work for a course, but because of illness or other extenuating circumstances beyond his or her control, is unable to complete all of the work of the course.€ The Appeal Regulations go on to stress that Aegrotat standing will only be granted due to extenuating circumstances€. The integrity of Arts and Science transcripts in general would be greatly diminished if the Faculty were to effect changes to students€™ records without clear and compelling documentation indicating that the student€™s performance was significantly compromised by extenuating circumstances beyond her control.
While your appeal does describe some circumstances that are extenuating in nature and there is supporting documentation to confirm them, Aegrotat standing is only permitted in cases where writing the final exam and completing the course is impossible and there is very clear evidence that the student has met all of the learning outcomes for the course. I understand that you are facing some challenging circumstances, but to be fair to all other students I cannot allow an Aegrotat grade in your case but I can offer two alternative options instead:
1. I would be willing to allow you to drop BCHM 218 past the academic deadline instead. If you wish to accept this offer, please email asc.appeals@queensu.ca within 21 days of receiving this decision letter to confirm your request. Once it has been received we will make the appropriate changes to your transcript.
2. I would be willing to allow you to receive an incomplete grade in BCHM 218 so you can write a deferred exam over the summer. If you wish to accept this offer, please email asc.appeals@queensu.ca within 21 days of receiving this decision and we will confirm with your instructor. The specific date and time of the deferred exam can be agreed upon and arranged between you and your instructor.
If you wish to appeal the Associate Dean€™s decision to the Board of Studies, you must submit an appeal to the Board of Studies within 21 days of the date this decision was sent.
