Dear Ms. Francis:
As per standard practice, I have reviewed your appeal before it proceeds to the Board of Studies for consideration. Based on the new documentation you supplied with this appeal, I have decided to change my original decision and grant your request waive the requirement to withdraw for three years. You may now resume your studies at Queen's University with the following condition noted below.
Due to the nature of your previous difficulties, I have made the decision to place you on part-time status. Note that as a part-time student you will only be allowed a maximum of 18.0 units in the Fall-Winter session with no more than 9.0 units per term. In order to be eligible to progress from part-time to full-time studies, you must fulfill the following conditions:
1. Completed a minimum of 24.0 Queen's credit units, excluding repeated courses, from the time at which they were admitted part-time on a degree Program; and
2. Achieved a minimum Cumulative GPA of 1.90;
OR
1. Completed a minimum of 18.0 Queen's credit units, excluding repeated courses, from the time at which they were admitted part-time on a degree Program; and
2. Achieved a minimum Cumulative GPA of 2.90.
It is my hope that the slower pace of part-time study will allow you sufficient time to remedy the personal and academic difficulties you have faced in the past and thereby enable you to be more successful in your future studies. If you wish to appeal the Associate Dean€™s decision to the Board of Studies, you must submit an appeal to the Board of Studies within 21 days of the date this decision was sent. Guidelines for appealing to the Board of Studies and the appeal form can be found at: http://www.queensu.ca/artsci/students-at-queens/academic-appeals (click on €œBoard of Studies€) Do not use the on-line application for this process. You may contact Mr. Harry Smith, Office of the Ombudsman for advice on matters of procedure and on obtaining a representative. His office is located in room 421 Robert Sutherland Hall and he can be reached by phone (533-6495) or e-mail (ombuds@queensu.ca).
Upon returning to a regular course of study it is your responsibility to choose courses carefully, seek out the advice necessary to improve your academic performance, and maintain a GPA consistent with the requirements for successful completion of your plan. I hope that you will continue to work with your Counsellor and make progress towards improvements in your mental health. I would also suggest that take advantage of the variety of support services available to you at Queen's. Academic counselling is available through an advisor in the Faculty of Arts and Science Student Services Office (main floor Dunning Hall, phone 613-533-2470) and you can discuss the most effective way to ensure your GPA meets the 1.60 threshold next year, which may include repeating failed courses. This course of action will help ensure you will be in good academic standing and not at risk of being required to withdraw for 3 years. The Learning Commons in Stauffer Library also provides a range of services, including workshops designed to improve study skills and develop strategies for meeting the demands of academic life.
Going forward, you should pause to reflect on your progress and assess whether you are actively engaged and attending classes, completing your readings and assignments during week 7 & 8. If not, you should drop any courses in which you have fallen behind in by the end of week 8 (the drop deadline). Appeals for late drops are generally reserved for those who encounter problems after week 8 or whose problems are more acute.
