Dear Helena:

I am sorry to have read that you were unable to complete HIST 125 and HIST 260 (S 2021) during the one term Incomplete period and I have carefully considered your appeal to extend your Incomplete grade in those courses. After reviewing your file, I have decided to deny your request.

Academic Regulation 10 outlines that a student affected by extenuating circumstances may ask the course instructor for incomplete standing (IN), or that the final examination be delayed, for up to one full term after the completion of a class. If this request is granted, any further request to submit incomplete work or to write a final examination after that term has elapsed must be made through a formal appeal to the Associate Dean (Academic). A medical certificate or other documentation outlining how the personal extenuating circumstances prevented the student from completing the outstanding work or writing the examination by the end of the next term must be provided with the letter of appeal. A note from the instructor agreeing to a further extension and stating a revised final date for completion of the course work in question or the final examination must also be included.

The information we received from the Department of History notes that you contacted the Department in November and were provided guidance on completing both courses, but they did not hear back from you until late December at which point you were advised to appeal for a late drop. I have also considered the possibility of dropping these courses late, but based on the current documentation, I am unable to consider that option since the documentation does not address the Summer term 2021 nor the Fall term 2021.

Going forward, I encourage you to carefully evaluate your progress in courses by week 7 of the term and if you are finding the material too difficult or have not kept up with the course work, you should drop the course by the week 8 drop deadline. The drop deadline is set at Week 8 to allow students plenty of time to assess their progress in a class and withdraw without any academic penalty if they feel that they cannot keep up with the demands or have the academic background needed to successfully complete it.

Another tool to manage your academics in addition to dropping a course by the drop deadline is our Academic Consideration protocol. A student can request short term consideration if they need more time to complete an assignment or miss a class due to documented extenuating circumstances. Helena, let me remind you that if a student repeats a course, the lower grade is excluded from their GPA and the higher grade is included.

Student Academic Appeals Policy (SAAP) or Rules of Procedure for USAB are Queen??s University Senate approved appeal policies. If an inconsistency arises between these policies and Arts & Science regulations, SAAP and USAB will supersede.
