Dear Simon Lindberg:
I was sorry to read of the challenges you outlined in your letter of appeal. I have carefully considered your request to waive the 21 Day Deadline and the Faculty ruling that you be Required to Withdraw for One Year. I have also considered your request to drop CHEM 112, MATH 121 (FW 17/18), BIOL 103 (W18), MICR 270, PHAR 100, PSYC 205 and PSYC 251 (F19). After reviewing your file, I have decided the following:
To grant your request to waive the 21 day deadline and to waive the requirement to withdraw. You may now resume your studies at Queen's University.
Due to the nature of your academic struggles, I have made the decision to place you on part-time status. Note that as a part-time student you will only be allowed a maximum of 18.0 units in the Fall-Winter session with no more than 9.0 units per term. In order to be eligible to progress from part-time to full-time studies, you must fulfill the following conditions:
1. Completed a minimum of 24.0 Queen's credit units, excluding repeated courses, from the time at which they were admitted part-time on a degree Program; and
2. Achieved a minimum Cumulative GPA of 1.90;
OR
1. Completed a minimum of 18.0 Queen's credit units, excluding repeated courses, from the time at which they were admitted part-time on a degree Program; and
2. Achieved a minimum Cumulative GPA of 2.90.
It is my hope that the slower pace of part-time study will allow you sufficient time to remedy the personal and academic difficulties you have faced in the past and thereby enable you to be more successful in your future studies. See Admission Regulation 11.6 at: https://www.queensu.ca/academic-calendar/arts-science/admission-regulations/ more information on the transition from part-time to full-time study.
As you continue in your course of study it is your responsibility to take steps for the successful completion of your program and maintain a GPA consistent with the requirements of your plan. These are some strategies that I strongly encourage you to consider:
Choose courses carefully. As you know, achieving a higher grade in a repeated course will improve your GPA. This course of action will help to ensure you will be in good academic standing and not at risk of being required to withdraw for three years.
Reflect on your program choice. Are you in the right plan for your interests and aptitudes? Your Academic Advisement Report in SOLUS will allow you to see your remaining requirements and
help you plan out future courses. You can read about the other program/plan options that may interest you in the Academic Calendar at https://www.queensu.ca/academic-calendar/arts-science/schools-departments-programs/.
Seek out the advice necessary to improve your academic performance. The Arts and Science Faculty Office is located in Dunning Hall (main floor). You can also book an appointment with an Academic Advisor online at https://www.queensu.ca/artsci/undergrad-students/student-services/academic-advising or by phone 613-533-2470. Academic advising may also be available through your Plan Department. Student Academic Success Services (SASS) https://sass.queensu.ca/ in Stauffer Library provides a range of services, including workshops designed to improve study skills and develop strategies for meeting the demands of academic life. The Student Wellness Services Centre https://www.queensu.ca/studentwellness/ located in Mitchell Hall, is available to all Queen??s students. SWS offers personal and counselling as well as individual consultation to aid in coping with difficulties of a more personal nature.
Academic Consideration is a process for the university community to provide a compassionate response to assist students experiencing a short-term extenuating circumstance. You can familiarize yourself with your consideration options at: https://www.queensu.ca/artsci/accommodations.
Please read the document which will follow this letter carefully. It contains important information concerning your current academic standing. If you have any questions about the information, please contact the Faculty Office to schedule an appointment with an Academic Advisor.
To grant your request to drop MICR 270, PHAR 100, PSYC 205 and PSYC 251 (F19) as the documentation that you supplied confirms the timeline and impacts of your extenuating circumstances during the 2019 Fall term. Your grades in these courses will be replaced with a DR notation on your transcript.
To deny your request to drop CHEM 112, MATH 121 (FW 17/18), BIOL 103 (W18). As you know, courses must be dropped on SOLUS within the published deadlines. The Academic Regulations (Appeal of Academic Decisions, IIIb) stress that exceptions to this will only be waived under extenuating circumstances. The integrity of Arts and Science transcripts in general would be greatly diminished if the Faculty were to effect changes to students?? records without clear and compelling documentation indicating that the student??s performance was significantly compromised by circumstances beyond their control.
I am certainly sympathetic to your situation and realize that this is a disappointing decision however, I want to remind you that you previously had appealed a requirement to withdraw ruling from the 2018 Winter term in which dropping these courses were also considered. The documentation that you supplied within that appeal request suggests that your academics began to be impacted by your circumstances before the academic drop deadline. As you know, it is the student??s responsibility to utilize their academic options including academic consideration and accommodations and drop courses which they have fallen behind in or do not intend to complete. With the absence of new documentation to suggest that your extenuating circumstances directly impacted your ability to drop these classes by the academic deadline, I cannot grant this request.
Please know that repeating courses is a recommended strategy if you are concerned about a lower grade impacting your grade point average. When repeating the exact same course, both grades remain on your transcript but only the higher one is included within your cumulative GPA.
If you wish to appeal the Associate Dean??s decision to the Board of Studies, information and deadlines can be found at www.queensu.ca/artsci/students-at-queens/academic-appeals (click on ??Board of Studies?). You may contact the Office of the University Ombudsperson for information about student rights and responsibilities as well as guidance on policy and procedure (www.queensu.ca/ombuds).
??Student Academic Appeals Policy (SAAP) or Rules of Procedure for USAB are Queen??s university Senate approved appeal policies. In the event that an inconsistency arises between these policies and Arts & Science regulations, SAAP and USAB will supersede.??
I wish you success in your studies next year.
Yours sincerely,
Jenn Stephenson, Ph.D.
