Dear Rachel Neumann:
I have carefully considered your appeal to drop ECON 212, FREN 106, STAT 252 (F21), ENIN 140, PHIL 204, and QSGP 200 (S22) after the academic deadline and for an Extension of an Incomplete Grade in COMM 200 (F21) and ECON 280 (W22). After reviewing your file and the information that I received from your instructors, I have decided the following:
1) To grant your request to drop ECON 212, FREN 106, and STAT 252 (F21) as I recognize that you were not yet connected with the appropriate supports until after the drop deadline of this term. Your grades in these classes will be replaced by a DR notation on your transcript.
2) To grant your request for an Extension of an Incomplete Grade in COMM 200 (F21) due to the academic impacts of your extenuating circumstances during the 2021 Fall term as confirmed by the documentation that you supplied. The instructor of this course is willing to accept the outstanding component worth 25% of your final grade during the current Fall term. You are permitted up to December 31, 2022 to complete the outstanding work and it is your responsibility to connect with Professor Reid to make the appropriate arrangements.
3) To deny your request for an Extension of an Incomplete in ECON 280 (W22). According to Regulation 10.3.4 ??Incomplete standing (IN) is a temporary designation reserved for a course in which a student who, because of extenuating circumstances beyond their control, has not completed all term work for a course or requests permission to defer the writing of a final examination. The student must have participated actively in the class and only one or two elements of the class may be outstanding?. The information that I received from your instructor indicates that you had only completed one component in this class and that there was 75% of the work left outstanding. As the documentation that you supplied indicates that you began to receive support in November of 2021 and I see that you were able to complete other classes successfully during the 2022 Winter term despite the impacts of your circumstances, I cannot grant this request.
I understand that this is a disappointing decision, but I am willing to allow you to drop ECON 280 (W22) after the academic deadline as your documentation does attest to continued academic impacts during the 2022 Winter term. If you would like to accept this offer, please email asc.appeals@queensu.ca within 21 days of receiving this letter and we will make the appropriate changes to your transcript.
4) To deny your request to drop ENIN 140, PHIL 204, and QSGP 200 (S22) after the academic deadline. As you know, courses must be dropped on SOLUS within the published deadlines. The Academic Regulations (Appeal of Academic Decisions, IIIb) stress that exceptions to this will only be waived under extenuating circumstances. The integrity of Arts and Science transcripts in general would be greatly diminished if the Faculty were to effect changes to students?? records without clear and compelling documentation indicating that the student??s performance was significantly compromised by circumstances beyond their control.
I want you to know that competing commitments, such as working a job while taking courses is not typically grounds for an appeal. An extenuating circumstance is defined as a significant physical or psychological event that is beyond a student??s control and debilitating to his or her academic performance. In general, an appeal would be successful when there are significantly extenuating circumstances, which would merit the waiving of an academic regulation. I acknowledge that you reported in your appeal letter that you were still struggling during the Summer term, and I am sympathetic to your situation however, the documentation that you supplied indicates that the impacts of your extenuating circumstances ended on April 30, 2022. It was your responsibility to assess your progress in your Summer term classes and to drop any that you did not intend to complete.
I want to remind you that repeating courses is a recommended strategy if you are concerned about a lower grade impacting your grade point average. When repeating the exact same course, both grades remain on your transcript but only the higher one is included within your cumulative GPA.
