Dear Jensen Pletch:
I have carefully considered your academic petition for an Extension of an Incomplete Grade in PHYS 117 (FW21/22). After reviewing your file and the information that I received from your instructors, I have decided to deny your request.
The Academic Petitions and Appeals Regulation 1.1 at https://www.queensu.ca/academic-calendar/arts-science/appeal-regulations/ stress that petitions and appeals are only granted where there are significantly extenuating circumstances, which would merit the waiving of a particular Faculty regulation or decision.
I acknowledge that I previously granted an Extension of an Incomplete Grade in this course to allow you additional time to complete the outstanding final exam and recognize that you report that you didn??t have enough time to prepare in time for the January 12, 2023 deferred exam date. I have denied this request as your petition did not demonstrate any documented extenuating circumstances that would prevented you from being able to write the final exam on the date offered to you by your instructor.
I am sympathetic to your situation and recognize that this is a disappointing situation however I want to remind you that I granted your previous petition request on December 5, 2022 and it appears from the emails that you supplied as documentation that you didn??t ask your instructor for the onQ and EWA Platform materials until a month later on January 4 and 5, 2023. It is unclear why you didn??t begin to prepare for this exam sooner. I want to remind you that competing commitments such as working a job while taking courses, is not considered to be an unexpected extenuating circumstance. The integrity of Arts and Science transcripts in general would be greatly diminished if the Faculty were to effect changes to students?? records without clear and compelling documentation indicating that the student??s performance was significantly compromised by circumstances beyond their control.
As I acknowledge the extenuating circumstances that impacted your academic ability to complete this course by the end of the Winter 2022 term, I am willing to allow you to drop PHYS 117 (FW21/22) instead. If you would like to accept this offer, please email asc.appeals@queensu.ca within 10 business days of receiving this decision letter and we will make the appropriate changes to your transcript.
