On Wednesday March 15, the Board of Studies (Board) reviewed your appeal of Associate Dean (Academic) Jenn Stephenson??s decision to deny your request of an extension of Incomplete grade in FREN 150 (Fall/Winter 2021-2022), DEVS 392, DEVS 492 (Winter 2022), PHIL 247 (Fall 2021), COMM 251 (Summer 2021), RELS 137 (Winter 2021). Board members present that day were Johanne Bénard (Chair), Devon Lin (Faculty member), Kai Salomaa (Faculty member), and Yara Hussein (Student representative). Pamela Briand (Arts and Science resource staff) was also present.
At this meeting, after carefully reviewing all written submissions contained in the file, the Board voted to uphold the Associate Dean??s decision to deny your request of an extension of Incomplete grade in DEVS 392, DEVS 492 (Winter 2022), PHIL 247 (Fall 2021), COMM 251 (Summer 2021), RELS 137 (Winter 2021), but to grant your request of an extension of Incomplete grade in FREN 150 (Fall/Winter 2021-2022).
In your letter of appeal to the Board, your additional memo and in your earlier submission to the Associate Dean that were included in the file, you reported extenuating circumstances related to your mental health that impacted your studies in 2021-2022. Also included in the file were two letters from Student Wellness that listed dates of appointments at their clinic from January to February 2020 and from February to October 2021, as well as a letter from a counsellor dated January 17, 2023.
The Board recognizes that you experienced extenuating circumstances in 2021-2022 that impacted your academic performance. However, we agree with the Associate Dean that, according to Petition Regulation 3.3.1.5, a request for the extension of an Incomplete grade is considered ??when only one or two elements of the course have not been completed?. All the courses taken in the winter, summer and fall of 2021 could not be assessed in this regard as they are too far in the past. As for DEVS 392 and DEVS 492, taken in the winter of 2022, we agree with the Associate Dean that there is too much work outstanding to be eligible for Incomplete grades. The option given by the Associate Dean in this case is to allow a retroactive drop without academic penalty, an offer from the Associate Dean that the Board is encouraging you to consider.
As for FREN 150 (Fall/Winter 2021-2022), the Board overturned the decision of the Associate Dean, based on a careful review of the instructor??s input and the fact that you have been actively participating in the first half of this full-year course.
We recognize the importance of this decision to you and want to assure you that every effort was made to explore all aspects of your appeal through discussion of your file. If you consider completing FREN 150, please contact Pamela Briand.
