Dear Tabitha,
On Thursday August 28, 2023, the Board of Studies (Board) reviewed your appeal of Associate Dean (Academic) Jenn Stephenson’s decision to deny your request to waive the Requirement to Withdraw for One Year (RTW1). Board members present that day were Johanne Bénard (Chair), Allison Goebel (Faculty member), Troy Day (Faculty member), and Amaiya Walters (Student representative). As you are aware, you also attended a portion of the meeting along with the Associate Dean (Academic), Jenn Stephenson. Pamela Briand (Arts and Science resource staff) was also present.
After you and Dr. Stephenson left the meeting, the Board thoroughly considered the information from the oral statements along with written submissions contained in the file, including a letter from your counsellor dated June 21th, a transportation invoice for cancer care in March 2021 for your mother, and your academic plan. At this meeting and after careful thought and deliberation, we voted to overturn the Associate Dean’s decision to deny your request to waive the Requirement to Withdraw for One Year.
The Board agreed with the Associate Dean that the petitions and appeals process at Queen’s is a document-based system and that the documentation that was provided with the appeal was not giving evidence on the impact of the extenuating circumstances on the specific courses in the 2021-2022 and 2022-2023 academic years. However, in assessing your file, the Board considered your difficulty in getting more documentation to attest to the severity of your extenuating circumstances, as well as the precisions you gave in your oral statement regarding your situation.
Given the importance of completing the courses successfully this year and of increasing your GPA, The Board would like to reiterate the Associate Dean’s advice to access support at Queen’s and to watch for drop deadlines in the future. We also recommend that you reach out to an Academic Advisor to establish a more detailed academic plan before the start of the fall term.
