Submit an Academic Petition or Appeal

Decision Letter

Submission Number: 11742
Decision Date: May 6, 2024
Associate Dean: Jenn Stephenson, Ph.D.
Student Name: Sarah Hamm
Student Email: 18seh6@queensu.ca

Dear Sarah Hamm:

I have carefully considered your request to waive the 1-Year Petition Deadline related to the 2021 Summer term. After reviewing your file, I have decided to deny your request.

As you know, Academic Appeal and Petition Regulation 3.7.2. states that, "Exceptions to the petition and appeal deadlines can only be granted in cases where extenuating circumstances beyond a student’s control render the student unable to submit a petition or appeal within the specified timeline. The student must be able to show that the extenuating circumstances were ongoing. The student must also be able to demonstrate that these circumstances prevented the student from acting between the time the original decision was received and the time at which the appeal was eventually initiated. An appeal of this type should include a presentation of the specific reasons for the delay and must include documents that support the reasons for this delay.”

I am sympathetic to your situation and understand that this is a difficult decision, however, I want you to know that I considered this request very thoroughly. In making this decision, I reviewed your petition letter, your transcript, and the documentation that you supplied.

I acknowledge that you experienced an unexpected family-related extenuating circumstance beginning in December of 2020, as confirmed within the documentation that you supplied. I have denied this request as your petition did not demonstrate any extenuating circumstances beyond your control that prevented you from submitting a petition within 1 year after the 2021 Summer term ended.

I want to remind you that the petition process is not meant to be used to manage a chronic situation. It is the student’s responsibility to manage the impacts of ongoing circumstances proactively during the term by utilizing academic consideration or dropping courses before the academic deadline. I also want you to know that information about academic options including petition and appeals is available to students within the Faculty of Arts and Science Academic Calendar.

If you wish to appeal the Associate Dean’s decision to the Board of Studies, information and deadlines can be found at queensu.ca/artsci/students-at-queens/academic-appeals (click on “Board of Studies”). Sincerely,

Jenn Stephenson, Ph.D.
