Thank you for your petition request to Waive a Petition Deadline related to the 2024 Winter and 2025 Fall terms. I have carefully reviewed your petition, and while I’m unable to grant this request, I want to assure you that I’ve taken your circumstances into account in reaching this decision.
Students in the Faculty of Arts and Science can submit a petition to drop a course after the academic deadline or for Credit Standing in a course no later than one year after the end of the term in which the course was offered. Academic Petition and Appeals Regulation 1.5.2 at queensu.ca/academic-calendar/arts-science/appeal-regulations/ stresses that exceptions to the petition deadlines can only be granted in cases where extenuating circumstances beyond a student’s control render the student unable to submit a petition or appeal within the specified timeline. These circumstances must be ongoing and must demonstrably have prevented the student from acting between the time the original decision was received and the time at which the petition was initiated. Requests to waive a petition deadline should include an explanation for the delay, and must include documents that support the reasons.
I acknowledge the chronic extenuating circumstances described in your petition letter and appreciate that you have focused managing these circumstances and obtaining professional support.
I have carefully considered the documentation you supplied dated November 7, 2022 as well as the more recent documentation confirming academic impacts from an extenuating circumstance during the 2026 Winter term. These documentations have been considered in relation to the timing of your request.
While I do not doubt the sincerity or the severity of the ongoing extenuating circumstances you have described, I note that you have submitted three separate petition requests since the end of the 2024 Winter term. In the absence of documentation demonstrating that an ongoing extenuating circumstance prevented you from submitting petitions within the one-year deadline for each affected term, I am unable to grant this request.
I would also like to remind you that information about academic petitions and appeal options is available each year through the Academic Calendar (queensu.ca/academic-calendar/arts-science/) and on the Faculty of Arts and Science website (queensu.ca/artsci/undergraduate/student-services/academic-petitions-and-appeals). Academic Advisors are available to assist students in understanding and navigating their academic options based on individual circumstances.
If you are concerned with the impact that courses from these terms have on your GPA, I would suggest that you consider repeating them in a future term. When repeating the exact same course code, both attempts will appear on your transcript however, only the higher grade will be included within the calculation of your cumulative GPA.
