Petition Letter
To Whom It May Concern,
I am writing to formally petition the removal of the academic grades and associated fees that currently appear on my Queen’s University student account. These grades do not reflect any academic participation, as I never attended Queen’s, never accessed or engaged with any course materials, and believed my withdrawal had been fully processed prior to the start of the term.
I wish to clarify the circumstances leading to this request. Although I initially accepted an offer of admission to Queen’s University, my situation changed late in the summer of 2024 when I received an acceptance from another institution in the United States, where I reside. After deciding to pursue that opportunity, I contacted Queen’s University and spoke with several faculty and administrative staff members to withdraw my intention to attend. Based on these conversations, I understood that my withdrawal was noted and that any course registrations would be cancelled accordingly.
Because I never attended Queen’s University, I did not log into onQ, did not participate in orientation or classes, did not receive course materials, and did not complete any academic work. At no point did I knowingly remain enrolled in courses. My first indication that courses had remained active under my name—and that grades, presumably zeros, had been assigned—occurred only recently when I reviewed my account. These grades do not represent academic performance, as I was not present for any part of the term and had taken steps to withdraw before the academic cycle began.
The situation was beyond my control in the sense that I reasonably believed my withdrawal was completed following my communications with university staff. Because of this understanding, I had no reason to monitor course activity or deadlines, especially given that I was preparing to begin studies at another institution. Had I known that my course enrollments or fees remained active, I would have addressed the issue immediately.
In light of these circumstances, I respectfully request that the University remove the academic grades assigned to my record and waive the associated tuition and fees. These entries resulted from an administrative misunderstanding rather than academic engagement, and maintaining them on my record would inaccurately represent my academic activity and intentions.
Thank you very much for taking the time to review my petition. I appreciate your consideration and am more than willing to provide any further information or clarification needed.
