Petition Letter
Dear Dr. Horton, Associate Dean (Studies),
The Request: I am appealing the 21 day appeal deadline to appeal the omission of MUSC 260 A and B from my transcript. The class is the Queen¿¿s Choral Ensemble, which I participated in during the 2011-2012, 2012-2013, and 2013-2014 academic year. Currently, my transcript includes MUSC 160A and B, and MUSC 360 A and B. The credit which I took but was not was 260A and B which I participated in 2012-2013.
Explanation of Extenuating Circumstance: I missed the deadline to enroll myself in the course. Entering my second year, I was unsure of the protocol for adding ensemble courses as in first year, most of the courses, if not all, are pre-enrolled by administrative staff. I believed that to enroll myself into the course I needed the permission code as that was the response given to me on SOLUS. I was then told that the permission code would be lifted in September and I would be able to enroll then. In September I was not able to enroll in the course, and I believed that the reason for this was because the instructor had not been aware of my interest in the course and had left me of the class list. When I brought this to the instructor's attention, he said that I would be added to the class list and that I could participate. I was not aware that I still had to manually enroll myself in the course after attaining permission from the prof that I could take the course. Because of this, I never enrolled myself in the course and it has been left off my transcript although I did participate. I was also not aware for a very long time that I was not enrolled in the course as I thought that I was going to be enrolled by my professor once permission was granted to me. Therefore, I also missed the deadline to appeal the course omission from my transcript.
I was planning to use this course to fulfill part of the ensemble credit requirement which is necessary for me to graduate at the end of the winter semester. My professor, Dr Sirett, had written to the Chair of Undergraduate Studies of the Department of Music, Dr. Lind, on this matter explaining that I had participated with a Pass grade, and I was therefore able to enroll in 360, the third year level of this course though 260 did not appear on my transcript.
Future Plan: I now understand the process of enrolling myself in ensembles, and that there is a deadline to appeal courses. I will be sure to enroll myself manually in the ensemble I will be participating in before enrollment is over come September. I will also check my SOLUS account after enrollment to be sure that all the courses I believe that I an enrolled in appear on my SOLUS class schedule.
