Submit an Academic Petition or Appeal

Petition Letter: Dear Associate Dean (Academic),

I am writing to formally request that PHYS 118 (Summer 2022) be amended to PHYS 117 (Summer 2022) on my transcript due to what appears to have been a registration error.

At the time, I was advised that since I had successfully completed the lab component of PHYS 117, I did not need to repeat it. Instead, I was instructed to complete the lecture/theory component through PHYS 118 in Summer 2022. I understood that there was a section of PHYS 117 into which I should have been registered, which would have incorporated my original lab grade and appeared on my transcript as PHYS 117. However, due to what now appears to have been an administrative registration mishap, I was enrolled in PHYS 118 instead.

Since I believed that PHYS 118 effectively replaced PHYS 117 for GPA purposes, I initially understood my academic record to be accurate. While reviewing my GPA in preparation for applying to graduate programs, I noticed a discrepancy and contacted the Faculty of Arts and Science Student Services on January 6th, 2025. Despite ongoing correspondence with Student Services, the matter was not resolved prior to my graduation in June 2025. After graduation, I was advised to reach out to the Department of Physics, and they were able to guide me in the right direction. I have attached all relevant email correspondence to this petition.

The Undergraduate Chair of Physics has confirmed that a registration error may have occurred and has expressed the Department’s support for correcting PHYS 118 to PHYS 117. The course coordinator is prepared to retrieve my original PHYS 117 lab grade and combine it with my PHYS 118 performance to calculate the appropriate final PHYS 117 grade.

Given my understanding that I had followed the appropriate academic guidance and that PHYS 118 replaced PHYS 117, I had no reason to believe there was an error in my academic record.
I respectfully request approval to amend my transcript to reflect PHYS 117 (Summer 2022) in place of PHYS 118 (Summer 2022).
