Dear Mr. Ali:
I have carefully considered your appeal to drop POLS 393, POLS 491 (F 2005), ANAT 100, HIST 296, MATH P06, PHAR 100 and POLS 467 (W 2006) past the academic deadline as well as your request to return to studies after your requirement for withdraw for a minimum of three years has lapsed. After reviewing your file I have decided the following:
1. I must deny your request to drop POLS 393, POLS 491 (F 2005), ANAT 100, HIST 296, MATH P06, PHAR 100 and POLS 467 (W 2006) past the academic deadline.
2. I will grant your request to waive the requirement to withdraw. You may now resume your studies at Queen€™s University.
As you know, courses must be dropped on SOLUS within the published deadlines. The Academic Regulations (Appeal of Academic Decisions, IIIb) stress that exceptions to this will only be waived under extenuating circumstances. The integrity of Arts and Science transcripts in general would be greatly diminished if the Faculty were to effect changes to students€™ records without clear and compelling documentation indicating that the student€™s performance was significantly compromised by circumstances beyond his or her control.
Extenuating circumstances normally involve a significant physical or psychological event that is beyond your control and debilitating to your overall academic performance. Additionally, these kinds of extraordinary situations are normally supported by documentation from a professional.
While your appeal does describe some circumstances that sound extenuating in nature, there is no supporting documentation supplied. Without any form of documentation we cannot alter a transcript. This is an official university record that we cannot alter based on a student€™s self-report. However, if you are able to seek some record of your mother€™s death from a religious leader, government official or other position of authority in your home town, you may submit it and I will reconsider your request at that time.
If you wish to appeal the Associate Dean€™s decision to the Board of Studies, you must submit an appeal to the Board of Studies within 21 days of the date this decision was sent. Guidelines for appealing to the Board of Studies and the appeal form can be found at: http://www.queensu.ca/artsci/students-at-queens/academic-appeals (click on €œBoard of Studies€) Do not use the on-line application for this process. You may contact Mr. Harry Smith, Office of the Ombudsman for advice on matters of procedure and on obtaining a representative. In order to reactivate your student file, you must complete a €œReturn to Studies€ form: https://www.queensu.ca/artsci/sites/default/files/return_to_studies.pdf and return it to our office as soon as possible. Please ensure you indicate your desired Degree Program and Plan (concentration). Once our office has received departmental approval of your Degree Plan, your file will be reactivated. For information on tuition payment and accessing SOLUS (Queen's on-line student system), please see: www.queensu.ca/registrar or contact the Registrar's office at (613) 533-2040.
As you might be aware, the academic regulations and grading system changed at Queen€™s in 2012. Academic Regulation 13 currently states that at the end of each Winter Term in which a student has attempted 18.0 or more units since the time of their previous assessment, that student is assessed for academic progression. If, at the time of this assessment, the GPA is below 1.60 an academic sanction is triggered. In your case, since you have a previous requirement to withdraw on your record, that sanction would be a requirement to withdraw for a further three years. Your current GPA is 1.87. The attached document contains more detail concerning academic probation and progression but if you have questions about this, or if you would like to know what grades you will need to be released from academic probation, please feel free to contact our office at 613-533-2470 and we can arrange an appointment for you to speak with an academic advisor.
A cumulative GPA of 1.60 is required to graduate with a three-year General degree (1.90 for an Honurs degree). You may also wish to contact your Department of concentration for advice on the successful completion of your Academic Plan. The Learning Commons in Stauffer Library provides a range of services, including workshops designed to improve study skills and develop strategies for meeting the demands of academic life. Student Wellness Services located in the LaSalle Building at 146 Stuart Street also offers personal and academic counselling free of charge to all Queen's students as well as individual consultation to aid in coping with difficulties of a more personal nature.
I hope that you will take advantage of the support services available to you at Queen's. In returning to a regular course of study it is your responsibility to choose courses carefully, seek out the advice necessary to improve your academic performance, and maintain a GPA consistent with the requirements for successful completion of your plan.
