Dear Mr. Mai:
I have carefully considered your appeal to waive the Faculty ruling that you be Required to Withdraw for One Year as well as your request to drop ASTR 101 (F 2016), MATH 121 (FW 2016/17), MUSC 104 (W 2017), MATH 121 and PHYS 117 (FW 2017/18) past the academic deadline. After reviewing your file, I have decided the following:
1. I will grant your request to drop ASTR 101, MATH 121 and MUSC 104 from the 2016/17 academic year. The documentation of your surgery dates at the end of fall and winter terms in first year provide evidence of your health problems which may have affected your studies at the time. While students are expected to drop classes by the Week 8 deadlines of each term, as a first year student you may not yet have been familiar enough with university level courses to accurately assess the importance of your health condition on your coursework. For that reason, I have exercised some leniency in my decision.
2. I will deny your request to drop MATH 121 and PHYS 117 late from the 2017/18 year. In your second year, there is no documentation supplied to confirm your extenuating circumstances over this timeline or speak to the severity or impact to which they affected your course work. As an upper year student you are now expected to evaluate your academic progress and drop classes by the Week 8 deadline (or in the case of a full-year course, Week 16). Without sufficient documentation or explanation as to why you were unable to drop these classes by the deadlines, I cannot justify removing these grades from your transcript.
3. As a result of dropping these 3 classes from your transcript in first year, your academic record will now be reassessed and you will receive a new letter shortly to inform you of your updated standing. The current Required to Withdraw ruling will be removed and you are currently eligible to resume your studies next year.
Upon returning to a regular course of study it is your responsibility to choose courses carefully, seek out the advice necessary to improve your academic performance, and maintain a GPA consistent with the requirements for successful completion of your plan. I hope that you will take advantage of the variety of support services available to you at Queen's. Academic counselling is available through an advisor in the Faculty of Arts and Science Student Services Office (main floor Dunning Hall, phone 533-2470) or through your plan department. The Learning Commons in Stauffer Library also provides a range of services, including workshops designed to improve study skills and develop strategies for meeting the demands of academic life. Further, the Student Wellness Services Centre located in the LaSalle Building at 146 Stuart Street (613-533-2506) offers personal and academic counselling free of charge to all Queen's students, as well as individual consultation to aid in coping with difficulties of a more personal nature.
If you wish to appeal the Associate Dean€™s decision to the Board of Studies, you must submit an appeal to the Board of Studies within 21 days of the date this decision was sent.
