Dear Max Butterworth:
I am sorry to have read that you experienced difficulties during the 2018/19 academic year and have carefully considered your appeal to drop FILM 110, DRAM 100, PSYC 100 (FW 2018/19) past the academic deadline as well as request Credit standing in HIST 122 and POLS 110 (FW 2018/19) based on those circumstances. After reviewing your file I have decided to deny your request.
As you know, Academic Regulation 10.3.2. states that, Credit standing in a course is reserved for situations in which a student, who has completed all of the work in the course including the final examination, and achieved a passing grade in the course, but because of illness or other extenuating circumstances beyond their control, earned a substantially lower grade than might have been expected, normally a grade of C or lower.€ Credit standing is only granted in cases where there are well documented and unforeseen extenuating circumstances outside of a student€™s control. The integrity of Arts and Science transcripts in general would be greatly diminished if the Faculty were to effect changes to students€™ records without clear and compelling documentation indicating that the student€™s performance was significantly compromised by extenuating circumstances beyond his or her control.
The documentation you have submitted addresses a timeline that you experienced circumstances during winter term 2019, but does not provide me with information regarding the severity of your circumstances nor the impact the circumstances had on your studies. Your documentation also notes that your diagnosis is unconfirmed as of February 25, 2019. If you now have documentation which confirms your medical condition as well as the full timeline of your circumstance and the impact your circumstance had on your health, you are welcome to submit that for my review. For your information, the appeals system is not designed to compensate for managing an ongoing condition; instead it is intended for situations where students experience an unforeseen acute or new situation that arises after the drop deadline in Week 8.
Keep in mind that you will be eligible to return to the university when one year has lapsed from the time of the initial ruling. Upon your return we hope that you will take advantage of the support services available to you at Queen's. In returning to a regular course of study it will be your responsibility to take steps for the successful completion of your program and maintain a GPA consistent with the requirements of your plan. These are some strategies that I strongly encourage you to consider:
€¢ Choose courses carefully. Achieving a higher grade in a repeated course will improve your GPA. This course of action will help to ensure you will be in good academic standing and not at risk of being required to withdraw for three years.
€¢ Reflect on your program choice. Are you in the right plan for your interests and aptitudes
€¢ Seek out the advice necessary to improve your academic performance. Academic counselling is available through an advisor in the Faculty of Arts and Science Student Services Office (main floor Dunning Hall, phone 613-533-2470) or through your plan department.
€¢ The Learning Commons in Stauffer Library also provides a range of services, including workshops designed to improve study skills and develop strategies for meeting the demands of academic life.
€¢ Resume your contact with Student Wellness Services Centre located in Mitchell Hall if that is necessary at that time. As you know, that service offers personal and academic counselling free of charge to all Queen's students, as well as individual consultation to aid in coping with difficulties of a more personal nature.
€¢ If you encounter extenuating circumstances that inhibit your ability to complete course work, consider seeking Academic Consideration. More information is available at: https://www.queensu.ca/artsci/accommodations
If you wish to appeal the Associate Dean€™s decision to the Board of Studies, information and deadlines can be found at www.queensu.ca/artsci/students-at-queens/academic-appeals (click on €œBoard of Studies€). Do not use the on-line application for this process. You may contact the Office of the Ombudsman (www.queensu.ca/ombudsman) for advice on matters of procedure and on obtaining a representative.
