Dear Clayton Tomlinson:

I read with interest the health related challenges you have experienced and I have carefully considered your appeal to drop PHIL 318 (F 2016); ENGL 217 (W 2017); LLCU 319, GRMN 101 (F 2017); ENGL 441, ENGL 411, PHIL 374 (W 2018) past the academic deadline and receive extensions of Incomplete Grades in ENGL 442 (W 2018); ENGL 321 (FW 2018/19); ENGL 481, ENGL 471, ENGL 436 (W 2019). After reviewing your file I have decided the following:

1. I will grant your request to drop ENGL 217 (W 2017). The documentation provided supports circumstances experienced during that term and past the drop date specifically.

2. I will deny your request to drop PHIL 318 (F 2016). As noted above, the documentation you have submitted supports the Winter term specifically and I cannot therefore justify altering your transcript after the fact to drop this course.

3. I will deny your request to drop LLCU 319, GRMN 101 (F 2017); ENGL 441, ENGL 411, PHIL 374 (W 2018). Your condition was chronic in nature and you had been receiving counselling during that timeframe. There are no extenuating circumstances which prevented you from dropping the courses by the drop date. Further, you should have registered with QSAS to seek support to address your long standing issues.

4. I will grant your request to extend the Incomplete grades in ENGL 442 (W 2018), ENGL 436, ENGL 471 (W 2019) due to the support received from your instructors in these courses. You are permitted up to January 15, 2020 at the latest to complete the outstanding assignments in these courses and it is your responsibility to contact your instructors to make the appropriate arrangements.

5. I will deny your request to extend the Incomplete grades in ENGL 321 and ENGL 481 due to the lack of instructor support and the amount of work outstanding in these courses.

Clayton, you may be aware of the progression rules regarding Academic Probation but let me remind you that if your GPA does not reach 1.6 when we review your transcript in May 2020, you will be required to withdraw for one year. As you know, a good strategy to help you meet that target GPA is to repeat courses which you failed or earned a low grade in. If a student repeats a course, the low grade is excluded from their grade point average and the higher grade is included which means there would be no long term negative impact on your GPA. This is considered a wise strategy to ensure you are able to raise your GPA to 1.6 at the next point of progression evaluation.

Going forward, I strongly suggest that you pause and evaluate your progress in your courses during week 7 of the term and if you have fallen behind in your course work, you should drop courses by the week 8 drop date deadline.
