Thank you for your petition requesting to drop POLS 367 (F25) after the academic deadline and for an exam deferral in DEVS 260 (F25). I have carefully reviewed your request, along with the information provided by the course instructors. While I’m unable to grant all of your requests, I want to assure you that your circumstances were considered thoughtfully and with care as part of the decision-making process.
I acknowledge the health-related challenges you described in your petition letter. I am sincerely sorry that these circumstances have had such an impact on your Fall term. I appreciate the documentation that you supplied and I am glad to hear that you are receiving appropriate support at this time.
I have granted your request to drop POLS 367 (F25) after the academic deadline. Your final grade will be replaced as a DR notation on your transcript once this has been processed by the Office of the University Registrar.
Going forward, you should know that it is your responsibility to pause and evaluate the impact of extenuating circumstances on your coursework prior to the drop deadline of the term. If you fall behind in a course or find the material too difficult, you should drop the course by deadline. The drop deadlines, outlined in the “Important Dates” section on the Faculty of Arts and Science web page, have been established to ensure fair and equitable treatment of all students.
Note that any change in academic registration may impact government or private-firm student financial assistance eligibility and/or funding. Please consult with the Student Awards Office, Office of the University Registrar, Gordon Hall, to understand the potential implications of changes to course or program registration and/or the consequences of not successfully completing the required course load.
Regarding your request for an Exam Deferral in DEVS 260 (F25), Academic Petitions and Appeal Regulation 1.7.1.6. a student affected by extenuating circumstances who cannot write their exam as scheduled may submit a request for academic consideration and ask the course instructor for an exam deferral. It is the student’s responsibility to contact their instructor(s) to make arrangements for a deferred exam. The instructor may agree to a deferral for up to one full term after the completion of a class. If the student is
unable to write the deferred exam at the same time due to the same or different extenuating circumstances, any further request for an additional exam deferral must be made through a petition to the Associate Dean (Academic). A medical certificate or other documentation outlining how the personal extenuating circumstances prevented the student from writing the deferred exam must be provided with the petition. The instructor will be consulted for their agreement to a further deferral and confirmation of the new exam timeframe must also be included. If the instructor cannot support an extension of an exam deferral, the student may be encouraged to consider other petition options instead.
While I recognize from the email correspondence that you supplied within your petition that your QSAS Advisor supported you in receiving an Incomplete Grade in DEVS 260, so that you could complete the outstanding work during the 2026 Winter term, including writing a deferred exam during the January deferral period. The documentation also confirms that the instructor of DEVS 260 offered you the opportunity to complete the outstanding assignments after the deferred exam was missed in January.
I also appreciate the documentation that you supplied from you parent, that confirmed the severity of the health-related extenuating circumstance that you experienced in the 2025 Fall term and the ongoing recovery process during the current Winter term. I have however, denied a further Exam Deferral in DEVS 260 as your petition did not include documentation from a health-care provider to confirm that an extenuating circumstance beyond your control prevented you from writing the exam during the January 2026 deferral period as scheduled.
That said, as the documentation you supplied confirms the academic impacts of extenuating circumstances during the 2025 Fall term, I will allow you to drop DEVS 260 (F25) after the academic deadline. If you accept this offer, your final grade will be replaced with a DR notation on your transcript.
